The AI that helped you write a brilliant customer email yesterday has no memory of your business name, your customers, your tone, or anything else — unless you tell it all over again. For business owners using ChatGPT regularly, this means the first two minutes of every session is spent re-establishing context before you can get to the actual work.

What ChatGPT memory actually is
ChatGPT memory works in two ways:
Saved memories — specific things you explicitly tell ChatGPT to remember. You type it once, it stores it, it applies it to every future conversation automatically.
Chat history reference — ChatGPT can look back at your past conversations and pick up patterns and context from them, even from chats you had weeks ago. Available to Plus and Pro users; free users get recent chat continuity.
For small business owners, saved memories are the most useful. You control exactly what gets stored, and you can update or delete anything at any time.
🤖 Is memory on by default?
No — and this catches a lot of people out. Memory is off by default for many users. Even if you have been using ChatGPT for months, it may not be storing anything about you. The first step below is to check and turn it on.
How to set it up — 5 steps

Turn memory on
Go to Settings → Personalization → Memory in your ChatGPT account. You’ll see two toggles: Reference saved memories and Reference chat history. Turn both on. If you only see one toggle, turn that one on. On mobile: tap your profile icon → Settings → Personalization → Memory.

Audit what ChatGPT already knows (or doesn’t)
Open a new chat and type exactly this: What do you currently know about me and my business? ChatGPT will show you everything it has stored. It may be nothing, or it may have picked up a few fragments from past conversations. Delete anything outdated or inaccurate by going to Settings → Personalization → Manage Memories.

Set your CRAFT Method context using the template below
This is the important step. Copy the template below, fill in your own business details, and paste it into a new ChatGPT chat. ChatGPT will store it as a memory immediately. Every future conversation will then start with this context already in place — without you saying anything.

Test it
Open a brand new chat. Without mentioning your business, just ask: Write me a social media post for this week. ChatGPT should automatically apply your business context and produce something relevant to your specific business — not something generic. If it doesn’t, the memory may not have saved correctly. Go back to Step 3 and try again.

Review monthly
Once a month, go to Settings → Personalization → Manage Memories and review what’s stored. Delete anything that’s out of date (if your prices change, your location changes, or you’ve added a new service). Fresh, accurate memory produces better output than stale memory.

ROLE (what I do):
My main services are [list your 2-3 core services]. My typical customer is [brief description — e.g. “homeowners aged 40-65 needing boiler work” / “women aged 30-55 who want a professional colour service” / “local offices and commercial premises needing regular cleaning”].
ASK (how to help me):
When I ask for help, I typically need: customer emails, social media posts, Google review requests, job ads, or quotes. Always make these specific to my business — never generic.
FORMAT (how I want output):
Keep outputs concise and practical. Ready to use immediately with minimal editing. UK English spelling and grammar.
TONE (how I sound):
My business tone is [e.g. “professional but warm and approachable” / “friendly and local, not corporate” / “confident and expert but never pushy”]. My customers respond to [e.g. “plain language and personal service” / “quality and reliability” / “speed and efficiency”].
Please confirm you have stored this and will apply it to all future conversations.
💡 What to put in the tone section
The Tone section is the most powerful part. Spend 30 seconds thinking about how your best customers describe your business to friends. The language they use is exactly what ChatGPT should sound like in your emails and posts. “They always make you feel like a person, not a number” = friendly and personal. “They just get the job done properly, no fuss” = professional and efficient. Use your customers’ words, not marketing words.
What to tell ChatGPT to remember — and what not to
Good things to store in memory:
Your business name, location, and what you do
Your typical customer profile
Your preferred tone and communication style
Your most common tasks (what you typically ask ChatGPT to help with)
Specific preferences like “always use UK English” or “never use hashtags”
Never store in memory:
Passwords or login details
Customer names, addresses, or personal data
Payment card details
Commercially sensitive pricing or contracts
🔒 Use Temporary Chat for sensitive conversations
If you ever want to use ChatGPT for something you don’t want stored — a sensitive HR situation, a private financial decision — use Temporary Chat mode. Find it in the same account menu. Temporary chats don’t save to memory or chat history, so nothing from that conversation carries forward. Your standard memory remains untouched.
