How to Get Started with AI
in Your Small Business:
The 30-Minute Setup Guide
If you have heard about AI, know you should probably be using it, but have no idea where to begin — this guide is specifically for you. Not for tech companies. Not for people with marketing teams. For the owner of a small business who wants to spend 30 minutes this morning and finish with one useful result. That is all this is. Start here.
The most common reason small business owners haven’t started with AI is not scepticism. It is not cost. It is not technical complexity.
It is not knowing where to begin.
Most guides about AI for business either start with a list of 50 tools that causes immediate overwhelm, or they start with theory about how AI will transform the economy — which is true but not useful when you have 47 emails to answer and a quote to write before noon.
This guide starts differently. It starts with problems. Three questions you answer before you touch any technology. And then one 30-minute session that goes from zero to one useful result. That is it. Everything else follows from there.
Before you touch any technology — 3 questions
The majority of UK businesses cite “lack of identified need” as their top barrier to AI adoption. They start with the technology and work backwards to find problems to solve. This almost always fails — because a technology solution in search of a problem is just an expensive distraction.
Start with the problems. Answer these three questions honestly before you do anything else:
Your answers to these three questions are your AI starting points. Pick the one that costs you the most time or causes the most stress. That is your first session.
The 30-minute session
Do this now. Not later today. Not this week. Now — or schedule a specific 30-minute slot for this morning. The longer you leave it, the more it stays theoretical.
Create your free ChatGPT account
Go to chat.openai.com and click Sign up. Enter your email address, create a password, and verify your email. No payment required for the free plan — it handles everything in this guide. If you already have an account, skip to the next step.
Set up your business memory
Open a new chat and paste the template below with your own business details filled in. ChatGPT will store this as permanent memory — so every future conversation automatically knows your business without you having to explain it again. This is the single most important setup step. See the full memory guide here.
Run your first real prompt
Go to the free prompts guide and find the prompt that matches the task you identified in the three questions above. Copy it, fill in the brackets with your specific details, and send it. Do not use a practice task — use a real piece of work from this week. The output arrives in under 10 seconds.
Read it, adjust it, use it
Read what ChatGPT produced. Ask yourself: does this sound like me? Is everything accurate? Is there one specific personal detail I can add that only I would know? Make those changes. Then use it — send the email, copy the social post, save the quote paragraph. This is your first win.
Book the next session
Open your calendar right now and block 20 minutes the same time next week. Label it “AI session.” The habit of regular short sessions builds faster than a single long exploration. Consistency over intensity — especially in the first month.
The CRAFT Memory Template — set it up now
Copy this template, fill in the brackets with your business details, and paste it into a new ChatGPT chat. This stores your business context permanently — making every future prompt faster and more specific to your business.
Please remember the following about my business for all future conversations: My name is [Your first name]. I run [Business name], a [brief description — e.g. "sole trader plumbing business" / "hair salon with 3 staff" / "independent café"] based in [town/city], serving [your area]. I have been in business for [X years]. My main services are [your 2-3 core services]. My typical customer is [brief description — e.g. "homeowners aged 40-65" / "women aged 30-55 who want a reliable colour service" / "local families and office workers"]. My tone: [e.g. "professional but warm and personal, not corporate" / "friendly and approachable, local feel" / "confident and expert but never pushy"]. UK English spelling and grammar. Keep outputs concise and ready to use with minimal editing. Please confirm you have stored this.
What to expect in the first month
Here is the honest version of what the first month looks like for most small business owners:
Week 1: One task. Probably takes longer than expected because you are reading and adjusting carefully. The output is good but not quite perfect. You send it anyway. No one can tell the difference. You save 10 minutes.
Week 2: Two or three tasks. The prompts feel more familiar. You spend less time adjusting. You start to notice which tasks ChatGPT is consistently excellent at (writing tasks, email drafts, social posts) and which ones need more input from you (anything requiring very specific local knowledge).
Week 3: You have a short list of three or four prompts you use regularly. You have memory set up. ChatGPT starts producing output that sounds more like you than it did in week 1. You start to think about what else it could help with.
Week 4: AI is now a tool you reach for when a writing task comes up, the way you might reach for Google when you need to look something up. Not a big project. Not a transformation. A useful tool that saves time on the tasks that used to slow you down.
