You don’t have time to babysit Google reviews, scroll Reddit, and check Quora every day. You also can’t afford to find out — three weeks late, from a customer who’s already left — that someone posted a scathing review, or that your industry’s subreddit has been quietly trashing your response times. The fix isn’t more vigilance. It’s a 30-minute weekly ritual: one AI-generated report that pulls together everything said about your business online, flags what’s urgent, and tells you what to do about it.
Why Weekly, Not Daily or “Whenever I Remember”
Daily monitoring is a distraction trap — you end up reacting to noise instead of running your business. “Whenever I remember” means you find out about problems from a customer, not from your monitoring. Weekly is the sweet spot: enough new data to spot real patterns, not just one cranky outlier, but not so often that it becomes another job.
The goal of the report is to answer three questions every week: is anything urgent (a 1-star review, a viral complaint, a Reddit thread gaining traction)? Step 2 — Set Up Your Monitoring Sources
Google Business Profile reviews — non-negotiable for almost any local business. Turn on email notifications for new reviews in your GBP dashboard so nothing sits unanswered. Site/blog comments — check your CMS notification settings; most email you new comments by default. Google Alerts (free, and underrated) — go to google.com/alerts and set up an alert for your business name, your owner’s name if customer-facing, and your product names.

You can narrow a Google Alert to a single site using the site: operator. For example, an alert for “your business name” site:reddit.com will only flag Reddit mentions — useful as a free, no-signup way to catch forum chatter.
Step 3 — The Part Most Businesses Skip: Monitoring Reddit and Quora
Review sites tell you what people say to your business. Reddit and Quora tell you what people say about your business when they think you’re not listening — which is usually more honest, and increasingly influential, since AI chatbots and AI-powered search results frequently pull from Reddit and Quora threads when answering “best [your category] for X” questions. If a thread is bad-mouthing you there, it can shape how AI assistants describe your business to people who’ve never heard of it.

Reddit’s and Quora’s own search — manually search your business name and close variants once a week. Tedious, but free and works. F5Bot — a free tool that monitors Reddit (plus Hacker News and a few other sites) for keywords you set and emails you when they’re mentioned. Good baseline if your budget is zero. A Google Alert with site:reddit.com or site:quora.com — catches indexed mentions, though not always in real time.
Low-Cost Paid Options ($20–50/month)
Syften — built specifically for live keyword alerts on Reddit and a few other community sites, with delivery to email, Slack or RSS. Brand24 or Awario — broader social listening tools that include Reddit and, in Brand24’s case, Quora, with built-in sentiment scoring.
💡 What to Actually Search For
Don’t just track your business name. Also track: your owner’s name (if it’s a personal-brand business), common misspellings of your business name, your core product/service category plus “recommend” or “worth it” (this surfaces conversations where you could be mentioned but aren’t — a content opportunity), and your direct competitors’ names (complaints about them are opportunities for you).
⚠️ One Important Norm
If you do engage on Reddit, disclose that you’re affiliated with the business and lead with genuinely useful information, not a pitch. Reddit users are quick to spot — and downvote — disguised marketing.
Step 4 — Route Everything Into One Place
Once you have multiple sources sending alerts, the next problem is alert fatigue — five separate email threads you’re not actually reading. Centralise it. The simplest version: a shared Google Sheet with columns for Date, Source, Sentiment, Summary, and Action Taken. Forward or copy every alert into it as it comes in, even manually at first. The automated version: use Zapier or Make to connect your sources directly into that sheet, with a filter step that sends an instant alert specifically for anything rated 1–3 stars or flagged negative — that’s the stuff needing a same-day response, not a weekly one.
Step 5 — Have AI Write the Actual Report
This is where it stops being a spreadsheet and becomes a report. Once a week, take everything that landed in your tracking sheet and feed it to ChatGPT or Claude with a structured prompt. Copy this and reuse it every week — just paste your raw mentions above it:

Common Mistakes to Avoid
Responding defensively in public. Acknowledge the issue, take specifics offline, and keep the public reply short and professional — it’s being read by everyone who hasn’t decided yet, not just the original poster.
Treating every negative comment as a crisis. One unhappy person is feedback. Three people independently describing the same problem is a pattern worth fixing.
Ignoring Reddit and Quora because “that’s not really us.” If your customers research big purchases online at all, some are reading these forums before they ever contact you — silence there isn’t neutral, it’s a missed chance to shape the narrative.
Letting the report become busywork. If you’re spending more than 30–45 minutes a week on this, the setup needs simplifying, not your discipline.
